Client portal

The signed-in portal where a client sees all their projects in one place — and how to give them access.

The client portal is a single, signed-in home for one customer. Instead of juggling separate links, a client logs in once and sees every project you've shared with them, can send you attributed messages, and manages their own notification preferences.

There are two ways a client can reach a portal:

  • Signed in with their own account — the full portal, with messaging and settings.
  • As a guest (opening the portal link without logging in) — they see the project list and can request an account.

Giving a client access

You set up portal access from a customer's detail page, in two sections.

Turn the portal on

Open the customer and find the Customer portal section.

Switch on Enable portal. This creates one overview page listing all of that customer's projects — a single link instead of many.

Optionally switch on Protect with a password. When the portal is protected, any password-protected individual projects are also listed; otherwise those projects stay hidden. Enter a password to set or change it.

Copy the Portal link and share it with your client.

Invite people to log in

The Customer access section controls who can sign in to the portal with their own account.

  • Invite — enter an email address and send an invitation. The person receives an email with a link to set up their account.
  • Active accounts — everyone who has logged in. You can Revoke any account's access; the account itself remains, but loses access to this portal.
  • Pending invitations — invitations that haven't been claimed yet. You can Resend or Withdraw them.
  • Domain join — add one or more email domains (for example company.com). Anyone with an address on a listed domain can create their own access without a personal invitation.

What the client does with the invitation

When someone opens an invitation link, they land on a short setup page:

  1. They see who invited them.
  2. If they're new, they choose a password (at least 8 characters) and confirm it. If they already have an account, they simply confirm access.
  3. They agree to the Terms of Service and Privacy Policy.
  4. Their account is set up and they're taken straight to the portal.
Warning

Invitation links are single-use and can expire or be withdrawn. If a client sees an "invalid or expired link" message, send a fresh invitation from the Customer access section.

What the client sees

The portal home

After signing in, a client with access to a single portal lands on it directly. If they have more than one, they first pick which one to open.

The portal shows:

  • Your logo and branding (if you've set up branding) across the header.
  • The customer name and a Projects list.
  • Each project as a card with its status — Active, Paused, or Completed. Clicking a project opens its update page.
  • Projects that are password-protected appear locked and greyed out until the client has the relevant access.

Sending you messages

Signed-in clients get a Your requests area on the portal. Here they can:

  • Pick which project a message is about (when there's more than one).
  • Write a message and mark it Normal or Urgent.
  • Toggle Also email me when I get a reply so they're notified outside the portal.
  • Read the full back-and-forth history, grouped by project.

Because the client is logged in, these messages are automatically attributed to them — no need to re-enter a name and email each time.

The guest view

If someone opens the portal link without logging in, they still see the project list, plus:

  • A Create an account button. This emails them a link to set up their own access.
  • If you've enabled Domain join, a Sign in with your company email field so anyone on an approved domain can get in.

Portal settings (for the client)

Signed-in clients reach their Account settings from the gear icon in the portal header. This page is theirs to control — you don't manage it for them.

Notifications

Clients choose how they hear from you:

  • How you get notifiedEvery update, Digest, or Portal only (no email at all).
  • Digest frequencyDaily or Weekly, shown when Digest is selected.
  • Always email me immediately for important updates — so critical news still breaks through a digest.
  • Also send browser push notifications — an optional extra channel. On iPhone or iPad, push only works after the client adds the portal to their Home Screen.
  • Also email me when I get a reply — mirror replies to their inbox.

A client's own notification choice is theirs to keep — it isn't overridden by your organization or workspace settings.

Your data (GDPR self-service)

The settings page gives clients direct control over their personal data:

  • Export your data — download a copy of their profile, linked portals, and requests as a file.
  • Delete account — permanently remove their account and access to all portals. They confirm with their password. Their past requests stay with you, but are no longer linked to them.
